The Un-Posted Journal Voucher Entry System is used to create new manual Journal Voucher entries that have not been posted to the JV Ledger.  JV entries should be maintained to track all flows of cash in and out of the business.   Non-routine JV entries must be entered here manually within the JV Entry Module and Saved (Step 1), and then the JV entry must be POSTED (Step 2) to the JV Ledger.  to the Journal Ledger.  All JV Entries must be BALANCED (i.e. Total Credits = Total Debits) before saving.  For Example, manual  JV entries should be made here track funds transfer to bank accounts; whenever managers or owners purchase office supplies or other materials, pay for bills,  or transfer money to the business, etc.  Routine Expense itens can be entered here or within the Monthly Expense Entry Module.  A typical manual JV entry is as follows:
EXAMPLE--
Owner transfers $100 into the business.  Manual transactions are
       GL Account Name          GL TYPE      Credit/Debit               Amount

           Bank Account                  Asset                 Debit                      $100

JV Total Debits  = $100;   JV Total Credits = ($100); JV Balance = 0

The Liability-Credit offsets the Asset-Debit, thereby creating a Zero Balance and keeping the General Ledger in balance. 

Saved JV Rec Lookup-- Selection box used to retrieve manual or automatic Journal Voucher entries to change or view.
JV Date--Used to enter, change or view the date of the Journal Voucher entry.
JV Period--Used to enter, change or view the transaction period.  The transaction period consist of Year and Month.  Format YYYYMM.
JV Description -Used to enter, change or view a description of manual or automatic Journal Voucher entries.  Description should be specific enough to identify the transaction.  (I.e. "Purchased Printer For MYBUSINESS")
GL Account Description - The GL Account Description field is used to provide additional detail on the name, type and purpose of the account.  The description field has a maximum limit of 255 characters.
EMP ID--shows the employee ID who entered, changed or last saved the Journal Voucher entry.
JV Total Debits-- Shows the total amount of all debits in this transaction.
JV Total Credits--Shows the total amount of all credits in this transaction.
JV Balance--Shows the results of DEBITS plus CREDITS.  Credits can be viewed as positive entries and debits can be viewed as negative entries.  You must keep in mind that credits are not always good and debits are not always bad.  For example, a debit to a bank account actually increases its value (a positive thing), and credits to cash accounts actually decreases its value (not necessarily a positive thing).
Delete--Deletes current Journal Voucher entry
Add New--Add new Journal Voucher entry
Print JV RPT Detail--Prints JV Detail Report for current Journal Voucher Entry.
The GL Account Entry and Maintenance module is used to manage the General Ledger Accounts.  General Ledger Accounts are the accounts that track Assets, Expenses, Liabilities, Revenue, ETC.
